Position Summary:
The Mammo Outreach Scheduler is a position dedicated to assist Windsong in its partnership with area Primary Care Physician practices to maintain and improve breast cancer screenings in women who are underserved or not up to date on preventative screenings. This role will work to facilitate scheduling mammograms with the ultimate goal of improving clinical outcomes through early detection. Responsible for scheduling patient appointments by coordinating clinical availability with necessary procedure preparations; this includes collecting the correct demographic, insurance and medical history information needed to reserve appointment while maintaining a professional and efficient manner. 
Essential Functions:

Provides outreach to patients to help them understand the importance of preventive services, based on the age and medical conditions.
Communicates regularly with Primary Care Providers regarding patient mammograms.
Professional, positive and caring attitude throughout entire patient encounter.
Responsible for all aspects of patient mammography scheduling.

Meet or exceed established measurable goals for the mammo initiative program.

Able to navigate patient clinical information related to mammography imaging in HEALTHeLINK
Maximize equipment schedule while accommodating patient needs for fast, convenient appointment dates/times.

Ensure accurate computer entry:

Mammmography orders.
Insurance Information.
Patient Data Entry (demographics).

Assists to ensure the appropriate information is available in the patients’ medical records during scheduled appointments such as previous outside imaging.
Ability to discuss details for the lifetime risk for breast cancer questionnaire offered by Windsong
Maintain detailed records for all partnering physician practices.
Ability to communicate effectively with patients and their family members, team members, supervisors, managers, Radiologists and Referring Provider offices.
Establish and maintain good rapport and a positive attitude towards all other departments, patients and referring providers.
Repetitive use of appropriate scripts using compassionate tone and inflections to ensure patient comfort, convenience and assurance.
Maintain an organized and efficient work area.
Adhere to and uphold all HIPAA and New York State regulations regarding patient privacy as well as standards of ethics set forth by Windsong Radiology Group.
All other temporary and/or permanent duties as assigned by Administrator or Manager.


2 year business or health administration degree with 1 year experience in medical appointment scheduling; or High School diploma with 5 years’ experience in medical appointment scheduling.
Heightened ability to maintain compassion and professionalism during patient interactions.
Effective communication with referring providers and healthcare organizations. Ability to communicate professionally in oral and written format.
Computer proficient- Microsoft office (especially excel), RIS, EMR.
Strong problem solving, relationship building, and advocacy skills
Must be knowledgeable about healthcare systems and community resources
Experience working in medical settings and interacting collaboratively with medical teams.
Detail oriented works effectively independently and in groups, dynamic and personable.
Basic Lifting as required, not to exceed 25 pounds.
Must be able to sit for extended periods of time with the ability to maintain concentration and attention to detail.
Must be able to stand; sit; walk for extended periods of time with the ability to maintain concentration and attention to detail.
Ability to work flexible hours including evenings and Saturdays as well as ability to work additional hours as needed.

Work Environment:
Position is in a well-lighted, fast-paced, clean medical office environment.
Physical Requirements:
Must possess the physical and mental abilities to perform the tasks normally associated with the essential job functions such as stationary, mobility, operating machinery, convey and exchange information, identify, observe and /or positioning of patients.
Manual dexterity to operate standard office machines/equipment such as computers, printers, multi-line phones, photocopiers, fax systems and calculators.
